Graduation days are long. There is the drive, the parking, the queue, the ceremony and the photos outside the hall. By the time the family gets to the celebration, everyone is tired, hungry and very proud. A little planning makes sure that part feels effortless.

Step 1: Lock in the ceremony details

Everything depends on the ceremony, so start there:

  • The date and start time
  • How long the ceremony is expected to run
  • How many guest tickets the graduate has
  • Where you will take photos afterwards

Cape Town's universities hold ceremonies on set dates, often several in a week across faculties, so restaurants and venues near campus get busy. Once you know the date, book everything else.

Step 2: Decide where to celebrate

At home is the most relaxed and personal option. It works especially well as a surprise: the décor is set up while the family is at the ceremony, and the graduate walks into it.

At a restaurant takes the cooking and cleaning off the family. Book early, ask for a private area or a long table, and check whether the restaurant allows décor and when it can be set up.

At a venue suits bigger family celebrations with speeches, music and a dance floor. It gives the most space for a full backdrop and styled tables.

Step 3: Plan the timing backwards

Work back from the moment the graduate arrives at the celebration:

  • Arrival: allow for traffic and photos after the ceremony. An hour to 90 minutes after the ceremony ends is realistic.
  • Décor ready: at least 30 minutes before arrival.
  • Setup starts: usually one to three hours before that, depending on the setup.
  • Food ready: just after arrival, because nobody has eaten properly all day.

Step 4: Choose the setup

A graduation setup does not need to be huge to feel special. Start with the essentials and add from there:

  1. A photo backdrop, ideally with a balloon garland
  2. A styled table for the meal
  3. Personal touches, like the graduate's name, degree and year
  4. A cake or dessert table

Step 5: Think about the guests

  • Share the time and address early, especially with older relatives
  • Plan parking if you are hosting at home
  • Have water and snacks ready for guests arriving straight from the ceremony
  • Decide who will give a short speech or toast

Step 6: Capture it

The graduate will want photos with everyone. Nominate one person to take group photos in front of the backdrop, or book a photographer for the celebration.
